One account, all the possibilities

Your account can be assigned to different agencies in different roles. For example, with one account, you can work as a staff member at Agency X, participate in an event at Agency Y as a guest, and simultaneously act as an administrator for your own agency.

Pause, change or cancel subscription

Pause subscription

If you don't actively wanna use your guestoo account for a certain period of time, you can pause your subscription at any time. Your subscription plan will then be reset to “Free” and you will not receive any invoices or limit warnings from us during your subscription pause. During the subscription pause, you can continue to use guestoo within the limitations of the Free subscription plan:

  1. Log in to the account that was used to create the agency
  2. Go to this site or go to the menu item "Agency" and switch to the tab "Subscription & Billing"
  3. Under the section "Subscription" click on the button "Pause subscription"
  4. Dialog window:
    • Start of the subscription pause:
      By default, the subscription pause starts on the 1st of the following month.
      If you activate the “Enter your own date” option, you can specify a date on which the subscription will be paused.
    • End of the subscription pause:
      By default, the subscription pause does not end on a specific date, so you must end it manually by booking a new subscription plan.
      If you activate the “Enter your own date” option, you can specify a date from which the currently selected subscription should be picked up again.
  5. Click on the button "Start subscription pause"
  6. If you have entered your own start and end dates for the subscription pause, the subscription pause will start and end within the period you have specified

Note: If you do not want to receive any further invoices from the 1st of the following month, set the start of the subscription break to, for example, the 30th/31st of the current month. If you set the 1st of the month as the start of the subscription pause, you will receive an invoice for that month, as invoices are always generated and sent automatically on the night of the 1st of the month.

Cancel subscription / Change subscription

You can easily switch your plan to “Free” (and upgrade again later if you need a higher plan). The switch to “Free” will take place automatically AFTER your prepaid period has expired, so you can switch at any time and continue to enjoy the benefits of a paid plan until the end of the term:

  1. Log in to the account that was used to create the agency
  2. Go to this site or go to the menu item "Agency" an switch to the tab "Subscription & Billing"
  3. Under the "Subscription" section" click on the button "Change subscription"
  4. In the dialog window, choose the "Free" subscription
  5. Click on "Accept changes"
  6. Done
Delete agency

If you want to completely delete your agency, proceed as follows:
ATTENTION: By deleting the agency, all events and all guest data stored there will be deleted irretrievably! 

  1. Log into the account that was used to create the agency or
  2. Go to this site or go to the user menu (Click on your name in the upper right corner) and choose the menu item "Cancel contract / Delete account"
  3. Activate the toggle next to the agency that you wanna delete
  4. Click on the "Delete" button
  5. Read the instructions in the dialog window carefully and confirm them by entering the word “DELETE” in the field below
  6. Click on "Confirm"
  7. Your guestoo agency is now marked for deletion.
    You have 24 hours to revoke the deletion before your agency is permanently deleted! To do so, click on the “Revoke deletion” button.

Change agency owner / Change owner's email address

By default, the owner is the person who creates the agency on guestoo.

Here's how you can change the owner of an agency:

  1. Under Agency > Users add a new manager user
    1. Click on "+ Add manager user" 
    2. Enter the email address of the new agency owner
    3. Choose the role "Administrator / Owner"
    4. Click on "Invite"
  2. An email will now be sent to the email address you entered, allowing you/them to accept the invitation and assign a password.
  3. Once the password has been set, you can log out of the old account and log into the new account with the password you just assigned.

Note: If you want to completely remove access under the old email address, you can delete it under Agency > Users by clicking on the gear icon next to the manager user.

guestoo automatically sends notification emails when, for example, a new guest signs up for one of your events.

Additional invoice recipients

The invoice is ALWAYS sent to the agency owner (the person who created the agency). This person is also responsible for ensuring that the invoice is paid.

However, an additional invoice recipient can be specified if, for example, the invoice is also to be sent to the accounting department or the treasurer.

If you would like to specify an additional invoice recipient, please proceed as follows:

  • Log in with the agency owner's account
  • Go to the menu item "Agency" and switch to the tab "Subscription & Billing" (Direct link)
  • Scroll to the section "Invoice recipient(s)"
  • Click on the button "Adjust recipient(s)"
  • Edit the details of existing invoice recipients or click on the “+Add recipient” button
  • Enter the first name, last name, and email address of the additional invoice recipient
  • Click on "Save"

From now on, both the agency owner AND the additional invoice recipient will receive all invoices. :)

  • Can I register more than one agency?

    Yes. Simply create a new agency with the same email address and you can then switch between accounts using the mask icon at the top left next to your name.
