An overview of your contacts from all events

Here you can find out how to add new contacts to your guestoo address book and how to edit or delete existing contacts.

Create contacts

Create contacts -

If you move the cursor over the ‘+Add contact’ button, you have two options for adding new contacts to your guestoo address book:

1. Create manually
  • Hover over the ‘+Create contact’ button and then click on the "Create manually" option
  • You will be redirected to a form in which you can enter the relevant data for the new contact
  • Fill in all necessary data
  • Click on "+Create new"
  • Done - the new contact has now been added to your address book!
2. Import from Excel
  • Hover over the ‘+Create contact’ button and then click on the "Import from Excel" option
  • Download the master file from guestoo and customise your Excel file according to the example
  • Upload the Excel file with the contact details to guestoo
  • If desired, select tags and campaigns to be assigned to the new contacts
  • If you wish, you can also immediately add the new contacts to the guest list of an event
  • If you want to overwrite existing guest data with the data from the Excel file, activate the corresponding option
  • Confirm that you have the necessary consent from all contacts to add them to your guestoo address book
  • Click on "Start import"
  • Done - the new contacts have now been added to your address book!

Search & filter contacts

Search & filter contacts -

You can search for specific contacts in the address book or filter the contact list.

Search contact

In the search field, you can enter a specific criterion according to which the list should be searched, e.g. the first name, surname or company of the contact. This is helpful if you are looking for a specific contact or only want to see the employees of company X, for example.

Filter list

Directly to the right of the search field there is another field that allows you to filter the contact list.


Click on the filter input field to display a new window with the filter options:

  • Unconfirmed registrations (No / Yes)
  • VIP (All / Do not show VIPs / Show VIPs only)
  • Invalid email addresses (No / Yes)
  • Keywords (Multiple selection possible, only results matching all selected criteria will be displayed)
  • Campaigns (Multiple selection possible, only results matching all selected criteria will be displayed)
  • Agreements (Multiple selection possible, only results matching all selected criteria will be displayed)
Important notes on the filters
  • The filters set in the address book remain active until you deactivate them again (even after logging out)!
  • If you want to see all contacts, but notice that some contacts do not appear in the list, please check that no filters are set!
  • To deactivate the set filters again, click on the red ‘X’ symbol in the ‘Filter list’ field

Increase contact limit

Increase contact limit -

Below the search and filter bar, you will see a note on the number of contacts that are included in your selected guestoo subscription.

If the message displayed is grey, you are within the limit set by the subscription. If it is orange, you have already exceeded the limit.

 

If you need more than the included number of contacts for your planning, you can increase this limit yourself.

 

This is how:

  • Click on the "Adjust" button in the note
  • Specify how many contacts you want to add in the dialogue window
  • Example: If 300 contacts are included in your subscription, but you need 400 contacts, enter the value "100"
  • Alternatively, you also have the option of switching to a higher subscription with a higher event limit
  • Confirm the two agreements
  • Click on "Order for a fee"
Important notes
  • The prices for booking additional contacts are tiered and vary depending on the subscription. You can find out about the conditions on this page.
  • If you increase the contact limit and then switch to a lower subscription, the set limit remains the same

    Example:
     You have booked 100 additional contacts in addition to the Pro subscription (600 contacts included). If you then switch to the Basic subscription (300 contacts included), the 100 contacts booked in will remain and you will have a limit of 400 contacts in total

  • If you increase the contact limit and then switch to a higher subscription, the contact limit booked in will be reduced or removed accordingly.

    Example:
    • You have booked in 100 more contacts on the Basic subscription (300 contacts included) to get a total of 400 contacts. If you switch to the Pro subscription (600 contacts included), the item disappears from the bill completely.
    • In the Basic subscription (300 contacts), you have booked in 400 additional contacts to get a total of 700 contacts. If you switch to the Pro subscription (600 contacts included), the number of contacts booked in that you have to pay for is reduced to 100.

Manage contacts

Manage contacts -

In the "Contacts" tab of the address book, you will find a list of all contacts from all events organised by your agency.

 

Next to each guest you will find a cogwheel symbol. You have the following options by clicking on it:

  • Edit
    By clicking on this menu item, you will be forwarded to the contact's master data. Here you have the option to edit the stored data.
  • Write email
    By clicking on this menu item, you will be redirected to your email application to write an email to the contact.

    Note: The emails you write in your email application are not stored in guestoo!
  • Delete
    Click on this menu item to delete the contact. You must first confirm the deletion in the dialogue window that opens and you can also inform the guest about the deletion of their data there if you wish.

Clean up

Clean up -

In the "Clean up"' tab of the address book, you have the option of deleting contacts from your address book based on certain criteria.

This is how:

  • In the menu item "Address book", change to the "Clean up" tab
  • Agreements
    Wenn Du hier ein oder mehrere Einverständnisse auswählst, werden die Kontakte, die mindestens eins der hier ausgewählten globalen Einverständnisse bestätigt haben, aus der Liste der zu löschenden Gäste entfernt.
  • Keywords
    • Only guests who do NOT have the value assigned (one is enough):
      Guests who have been assigned at least one of the tags you select here will be removed from the list of guests to be deleted.
    • Only guests who have the value assigned:
      Only contacts who have been assigned at least one of these tags are added to the list of contacts to be deleted.
  • Campaigns
    • Only guests who do NOT have the value assigned (one is enough):
      Guests who have been assigned to at least one of the campaigns you select here will be removed from the list of guests to be deleted.
    • Only guests who have the value assigned:
      Only contacts who have at least one of these campaigns assigned to them will be added to the list of contacts to be deleted.
  • Settings
    • Delete guests from archived events
    • Delete guests from expired events
    • Delete X days after event expiration
  • As soon as you have made your selection, the red button will show you the number of contacts that match these criteria
  • Before you press the button, you should check whether you really want to delete all contacts that meet these criteria
  • So check the selected criteria again and the list of contacts to be deleted shown below
  • If you do not want to delete one of the contacts, you can remove the tick in the checkbox in front of the name of the corresponding contact
  • Click on the "Delete X guests" button to delete all listed contacts
